Welcome to La Souterraine English Library  (the “Site”).  We understand that privacy online is important to users of our Site, especially when conducting business.  This statement governs our privacy policies with respect to those users of the Site (“Visitors”) who visit without transacting business and Visitors who register to transact business on the Site and make use of the various services offered by La Souterraine English Library (collectively, “Services”) (“Members and Authorised Members”).

“Personally Identifiable Information”
Refers to any information that identifies or can be used to identify, contact, or locate the person to whom such information pertains, including, but not limited to, name, address, phone number, email address information.  Personally Identifiable Information does not include information that is collected anonymously (that is, without identification of the individual user) or demographic information not connected to an identified individual.

What Personally Identifiable Information is collected?
We collect basic user profile information from all of our members.  Information collected for members:  Names, Addresses, Phone number and Email address.  Information collected for non members: Name, Email address only.

Website comments?
At the moment we don’t a utilise any comments software on the website, however as the Library develops & evolves we may in the future employ a basic commenting system. When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help detect and guard against spam. An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. Please take a look at the Gravatar service privacy policy also know as automattic.com. After approval of your comment, your profile picture if you have one is visible to the public in the context of your comment.

How is Image Media handled?
All Library Members and WordPress editors; administrators will have their images scrubbed of EXIF information during upload to the website. Authorised members should also be aware this applies to all embedded location data (EXIF GPS) inclusive of all post types (Pages; Posts; Comments; Newsletters; Notification mails).  For example If comments are used in the future, La Souterraine English Library will only allow sanitised (filtered) pictures to be posted to avoid inadvertent collection of said personal data from these images if downloaded by a visitor.

We have in place a plugin to pre scrub all EXIF data (including GEO), resize and compress all images ready for website use upon upload by any authorised member with an elevated account (Editor / Administrator).

Note:
This plugin does not interact with end users on our website. The only input option the plugin has is to a newsletter subscription for site administrators only.

This plugin sends images to the WPMU DEV servers to optimise them for web use. This includes the transfer of EXIF data. The EXIF data will either be stripped or returned as it is, It is not stored on the WPMU DEV servers. As stated above we have the software set to always scrub EXIF information.

The plugin uses the Stackpath Content Delivery Network (CDN). Stackpath may store web log information of site visitors, including IPs, UA, referrer, Location and ISP info of site visitors for 7 days. Files and images served by the CDN may be stored and served from countries other than your own. Stackpath’s privacy policy can be found here.

This plugin uses a third-party email service (Drip) to send informational emails to the site administrator. The administrator’s email address is sent to Drip and a cookie is set by the service. Only administrator information is collected by Drip.

What organisations are collecting the information?
In addition to our direct collection of information, our third party necessary service vendors (such as PayPal, credit card companies, clearinghouses and banks) who may provide such services as credit, insurance, and escrow services may collect this information from our visitors and members.  We do not control how these third parties use such information as this information is taken directly on the service provides own website (E.g. PayPal’s own website),  We don’t store any debit or credit card information on the library website but we do ask them to disclose how they use personal information provided about our visitors and members to make sure their details are protected. Some of these third parties may be governmental intermediaries that act solely as links in the distribution chain, and do not store, retain, or use the information given to them.

How is Personally Identifiable Information stored?
Personally Identifiable Information collected by La Souterraine English Library is securely stored and is not accessible to third parties or the volunteers of the Library except for use as indicated ( E.g. wordpress editors / administrators / authorised members ).

How does the website use Personally Identifiable Information?
We use Personally Identifiable Information to customise the website, to make appropriate service offerings,  and to fulfil service information on the website.  We may or may not email visitors and authorised members about research or purchase and selling opportunities on the website or information related to the subject matter of the website. We may also use personally Identifiable Information to contact Visitors and all members in response to specific inquiries, or to provide requested information.

With whom may the information may be shared?
La Souterraine English Library will not divulge any members details or transmit any data to any unauthorised third parties.  Personally Identifiable Information about members may be shared with our authorised members who wish to evaluate potential transactions with other members.  Depending on the library’s discretion, we may share some restricted non-compromising aggregated information about our visitors, with our affiliated groups. Since all participants in the Library’s various groups should be members of the Library, and since the Library holds, with the express permission of the members, all relevant personal data (email and other addresses, telephone numbers etc.) means there is no need for any affiliated group to hold such profile information of this nature.  Groups can be contacted via their relevant contact forms on their webpage,  the library records your consent to collect your name and email address via this method during this process.

Contact form submissions
We keep contact form submissions indefintely for member reference & if required for legal purposes, If the contact forms were used while the members were logged in their own messages can be accessed for review under the Membership Details menu item on the website while logged in.  La Souterraine English library does not use the information submitted through any of these forms for any third party or marketing purposes.

What email routes do we use to communicate with our members.
We use a software package for subscriptions, newsletters and post notifications. This software does not store or attempt to harvest any of your personal data for the software authors company. The software creates the following tables on La Souterraine English library’s websites database as a stand alone email distribution application.

Additionally, as the templates are a custom post type, all the templates that are created for newsletters or post notifications are stored in the website’s post & postmeta database table. the above details are stated to indicate that the application is not administered separately off-site on a third party web-server like “Mailchimp” so all email transactions are created;  stored;  secured and sent solely from the library’s own website.

What choices are available to visitors or members regarding collection, access, correction, use and distribution of the information?
Visitors, members and authorised members may opt out of receiving unsolicited information or from being contacted by us and or our vendors and affiliated groups by responding to emails as instructed below or by use of unsubscribe link at the bottom of every email transactions (e.g. newsletters / notification emails). The members details can be personally accessed to edit ones own data or delete when logged in.  i.e. edit in full (except user ID’s ) ones own membership profile details and partly edit or delete any contact form submission that has been made while logged in.  Also the route for non-members and members to inquire to see if their is any visually inaccessible data on the website database can be made by contacting us at: info@lasouterraineenglishlibrary.fr   or conveniently by using the form below to submit that request.

This is done by utilising a search on the requesting party’s own email address on the library’s database to see if there is any associated data stored against it. This will also be used as a means transfer the users own information to any relevant party of their choice (portability) if required. Finally after said parties have reviewed the requested information, they have the right to request this information to be deleted. If deletion is requested then this will  be functionally erased from the library’s Db within a reasonable period of time after manual review by library staff.

Can a visitor (non-member) delete or deactivate Personally Identifiable Information collected by the Site?
We provide visitors with two mechanisms as above to request a search, for purposes of review; or purposes of deletion; personally identifiable information from the library’s website’s database.  Again this is done by email or form request for subscription information only (non-members, name and email only) for full current Db record removal. However, because of backups and records of deletions, it may be impossible to delete a visitor’s entries without retaining some residual information.  An individual who requests to have personally identifiable information deactivated will have this information functionally deleted, we will then not intentionally email that individual in any way moving forward.

What do we do with expired members details?
Due to the nature of membership renewals being seasonal, If a member does not renew their membership after 6months, we reserve the right to remove any expired members details from la Souterraine English library’s website Database within a reasonable time after this period has passed.

How does google maps process my data?
Personal map data is processed by La Souterraine English Library.  You will be prompted by a required privacy notice to store a cookie to allow map API calls, to be processed by the API provider, for the purposes of geocoding (converting addresses to coordinates), reverse geocoding and generating directions. Some visual components of WP Google Maps use 3rd party libraries which are loaded over the network. At present the libraries are Google Maps, Open Street Map, jQuery DataTables and FontAwesome. When loading resources over a network, the 3rd party server will receive your IP address and User Agent string amongst other details. WP Google Maps uses jQuery DataTables to display sortable, searchable tables, such as that seen in the Advanced Marker Listing and on the Map Edit Page. jQuery DataTables in certain circumstances uses a cookie to save and later recall the “state” of a given table – that is, the search term, sort column and order and current page. This data is to help local storage and is retained until this is cleared manually. No libraries used by WP Google Maps transmit this information. Please see here and here for Google’s terms. We do not send the API provider any personally identifying information, or information that could uniquely identify your device.  Upon first use of the map, there will be a notice displayed in place of the map, agreeing to this notice will store a cookie recording your agreement so you are not prompted again. What are cookies?
A cookie is a small text file that a website saves on your computer or mobile device when you visit the site. If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

2 Days
When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days.

2 weeks
If you select “Remember Me”, when you login and stay logged in, then this login will persist for two weeks. If you log out of your account, the login cookies will be removed.

1 Year
Screen options choices & when & if the library decides to use the additional function of a comments facility, If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

How does La Souterraine English Library use login information?
La Souterraine English Library uses login information, including, but not limited to, IP addresses, ISPs, and browser types, to analyse trends, administer the Site, track a user’s movement and use, and gather broad demographic information. This is only for the benefit of La Souterraine English Library and it’s members and is not collected or stored on the website but by google analytics. This is solely used for betterment of the site to see where improvements can be made.

Disclosure of Personally Identifiable Information to comply with law.
We will disclose personally identifiable information in order to comply with a court order or subpoena or a request from a law enforcement agency to release information.  We will also disclose personally Identifiable Information when reasonably necessary to protect the safety of our visitors members and authorised members.

How does the Site keep Personally Identifiable Information secure?
All of our authorised members are familiar with our security policy and practices. The personally Identifiable Information of our visitors and members is only accessible to a limited number of the Bureau / Conseil who are given secure granulated account access matching their role in order to gain access to the information.  We audit our security systems and processes on a regular basis.  Sensitive information is protected by encryption protocols, in place to protect information sent over the Internet.  While we take commercially reasonable measures to maintain a secure site, electronic communications and databases are subject to errors, tampering and break-ins, and we cannot guarantee or warrant that such events will not take place and we will not be liable to visitors or members for any such occurrences. However in the event such rare occurrence is detected we will take all measures to inform all relevant parties effected.

In addition to the above information we utilise a SSL certificate ( https ) you may see this as a grey or green padlock in the address bar to secure the network traffic. Utilising this certificate does not collect any personal identifiable information, so GDPR does not apply to this process on our website. You can find the privacy policy for this process here.

What happens if the Privacy Policy Changes?
We will let our visitors members and authorised members know about major changes to our privacy policy by posting such changes on the Site then via email or by agreement when the member / visitor next visits the website. However, if we are changing our privacy policy in a manner that might cause disclosure of personally identifiable information that a visitor or member has previously requested not be disclosed, we will then contact such Visitor or member to allow such visitor or member the chance to prevent such disclosure.

Breach Notifications..
La Souterraine English Library representatives will notify the relevant Users of any data breached within 72 hours of discovery and without undue delay.

Amendments to this Policy

  • La Souterraine English Library representatives reserve the right to amend any of the above Policy, as and when needed. The user submits to update their knowledge of our Privacy Policy on a regular basis and so abide by the terms. Our failure to enforce, at any time, any provision of these terms does not constitute a waiver of that provision or of any other provision of the Policy.
  • Should any provision/s in this Policy be held as invalid by a court of law, such provision/s shall be modified and thereafter interpreted so as to best accomplish the initial, now replaced provision to the fullest extent permitted by law; the remaining provisions shall remain unaffected.
